Work Items
What are work items?
- Work items are particular instances of a workflow
- They enable multi-party work through the ability to invite other parties to specific work items
- Each work item is essentially a string of complex forms
- Note that all the work items follow the same structure
- This structure is defined in the workflow
To find out how to create your own workflow please see the relevant page on the knowledge base
Creating work items
- To create a new work item you need a company plan for the ecosystem you’re in
- Navigate to the “Work” tab from the navigation menu then click on the workflow you want to start a work item in
- You can create a new work item by either
- Clicking the green button on the top right hand corner of the page
- This will start a new work item from the first task
- Or if you don’t want to start the work item from the first task, you can click on one of the “+” buttons next to the step names in the kanban board and then select the task you want to start from
Sharing work items
The key principle of multiparty workflows is that multiple parties are involved. Hence sharing is an integral part of our workflows. You can share work items to your peers in two different ways; sharing an individual task, or sharing the whole work item.
Sharing a task
To share an individual task, enter the work item and go to the task you want to share. Next to the submit button, there’s an icon to edit task permissions:
Clicking this opens up the share task side panel:
To share the task with another user, click on the textbox under Enter a name or email and type in that user’s email address. If they are a registered user, their name and icon shows up as an option in the popup:
If they are not a registered user, the dropdown shows the option to add them and invite them:
Clicking on the Editor button on the right of the text box lets you change the permissions you give to the user you’re inviting.
Once you have selected a user, clicking the Send Invite button notifies that user via email and immediately adds them to the list of task members:
Sharing a whole work item
To share the entire work item, click the share on on the top right of the page near your account icon:
This opens up the share side panel:
To share the work item with another user, click on the textbox under Enter a name or email and type in that user’s email address. If they are a registered user, their name and icon shows up as an option in the popup:
If they are not a registered user, the dropdown shows the option to add them and invite them:
Clicking on the Owner button on the right of the text box lets you change the permissions you give to the user you’re inviting.
Once you have selected a user, clicking the Send Invite button notifies that user via email and immediately adds them to the list of members.
