Dashboards
What are dashboards?
- Dashboards are views inside the performance tab
- The default dashboard is called the Data Explorer where you see all active, completed, and deleted work items that you have access to
- However, you can also create your own
- A basic dashboard that you can set up today is a saved set of filters and columns
- More advanced dashboards with graphs and metrics cards can currently only be set up by contacting our team
To find out how to create your own dashboard please see the relevant knowledge base page
Who can see what on dashboards?
Dashboards are just ways of looking at work items that you already have access to. They do not give access to work items and are really just more like a saved set of filters, columns, graphs, and metrics through which, people can view the work that that already have access to. For example everyone has access to the Data Explorer but what each person sees on this dashboard is different and depends on the work items that they have access to. This is true for all dashboards including the ones that you create.
Private and ecosystem dashboard types
Ecosystem dashboards
Note that only ecosystem orchestrators can create ecosystem dashboards.
Ecosystem dashboards appear for all users within the ecosystem (all users who are in a company that has a plan to the ecosystem). While all users can view the dashboard it is still just a saved set of filters, columns, graphs, and metrics and the data that they see will be entirely dependant on the work items that they have access to.
Private dashboards
If you aren’t ecosystem orchestrator all the dashboards that you create will be private dashboards.
By default only you will have access to this dashboard but you can invite others by clicking on the share button in the top right.
You can find out more about who has what access to dashboards by checking out the dashboard permission section on the knowledge base
Managing dashboards
The manage dashboard side panel is a panel dedicated to customise high level functionality of your dashboard. It provides tools to change the dashboard name, icon, type, and edit permissions involving the dashboard. Only dashboard owners can manage dashboard settings.
To enter the manage dashboard side panel, go to the performance tab in your ecosystem and find the dashboard you want to manage. Click on the ellipsis:
From here, click Manage dashboard, which opens up the Manage dashboard side panel:
Using dashboards
Managing columns
The columns correspond to the different fields in the work items, and rows correspond to individual work items. You can filter on specific fields in work items, and export data to your own device for external use. Clicking any row redirects you to the respective work item, letting you easily make changes if needed.
Clicking on the + button lets you manage columns:
This opens up the manage columns popup, which lets you enable and disable any column to provide more visual clarity over the work items you are viewing.
Clicking the grid view and row view icons on the top right changes how the work items are displayed on your page, switching between rows and work cards:
Filtering data
The data explorer lets you filter for not only specific fields, but also for data entered within the fields of work items, giving you the ability to look through both groups of data and specific items.
To add a filter, click the +Add Filter button and select from the range of selections provided:
Once you have selected a filter, it will show up in the filters list next to the +Add Filter button. For the filter to apply, you need to select the parameters of it. These vary depending on the type of filter. Parameter selection generally looks like this:
Multiple options can be selected to give as broad or narrow of a view of work items as you desire, with the option of having multiple filters active at once to provide full control over your view selection. To remove a filter, click on the bin item on the top right of parameter selection.
Export data
Export the data you filter through for external use by clicking the export button on the top right hand corner of the page:
Doing so opens up the Export Report modal, which lets you customise how your data is exported:
The included properties option lets you decide what properties are exported. Current view means that everything that is currently visible on your data explorer, and nothing else, is exported to the file. This type of export reflects your filters, as well as your column management.
The format option lets you choose between the CSV and EXCEL file types.
Clicking the export button immediately downloads the file to your device.
